Overall Task
We are seeking a proactive and strategic Workspace Management Specialist to optimize our office environment and ensure it aligns with the company’s evolving needs. You will play a key role in shaping functional, inspiring and efficient workspaces by collaborating with cross-BUs and external partners. This role requires a strong capability of project coordination, design thinking and stakeholder engagement. In addition to day-to-day workspace operations, you will lead creative workplace transformation initiatives - reimagining underutilized areas into dynamic settings that reflect our culture and values.
Roles and ResponsibilitiesSpace Planning & Strategy
- Assess company growth and evolving business needs to define functional zoning and layout strategies for office spaces.
- Optimize the use of workplace resources to accommodate changing requirements across different business phases.
- Collaborate with central planning to incorporate group strategy into actionable workspace design concepts.
Design & Implementation
- Participate in workplace ambient design including furniture & signage selection, look&feel evaluation
- Support the development of guiding systems and visual identity integration within the office environment.
- Lead the planning and execution of creative office renovation projects - transforming traditional or underused spaces into innovative, people-centric work environments.
- Pilot new workplace concepts, measure user adoption and iterate based on feedback and utilization data.
Cross-Company Coordination
- Lead and coordinate overarching topics, such as parking, seating and shared resource management.

Stakeholder Engagement
- Organize and facilitate regular meetings with key internal stakeholders to gather requirements, discuss pain points, and track resolution progress.
- Drive discussions to ensure timely decision-making and implementation of workplace solutions.
Qualification
Education & Experience
- Bachelor’s degree or above in Interior Design, Architecture, Facilities Management, Business Administration or a related field.
- Experience in workplace management, office planning, corporate real estate, or related roles.
- Demonstrated experience in leading or supporting office renovation, creative refresh, or workplace experience transformation projects.
Skills & Competencies
- Strong command of English (written and spoken); ability to draft professional documents and presentations.
- Advanced proficiency in PowerPoint; ability to create clear, visually compelling presentations that communicate complex ideas effectively.
- Confident, poised, and articulate in professional settings. Able to engage and influence stakeholders at all levels, including senior leadership.
- Experience working in diverse, multicultural environments and ability to collaborate effectively with colleagues from different nationalities and professional backgrounds.
- Strong logical thinking and execution skills; capable of managing multiple tasks with efficiency and attention to detail.
