Brief description of the position:
The position is responsible for three core areas: orchestrating high-level executive events and visits, managing the company seal and related compliance processes, and leading or supporting strategic special projects as directed by senior management. This role is a critical support function within CEO division.
Key Tasks:
The position is responsible for three core areas: orchestrating high-level executive events and visits, managing the company seal and related compliance processes, and leading or supporting strategic special projects as directed by senior management. This role is a critical support function within CEO division.
Liaise with internal departments (e.g., Internal Communication, Government Affairs, Security) and external vendors to ensure flawless execution. Act as the primary point of contact and onsite coordinator during events and visits.
Serve as the official custodian and manager of the company seal, ensuring its secure storage and controlled usage, including documentation and verification of supporting documents.
Administer and continuously improve the seal application and authorization process, guaranteeing strict compliance with internal policies and requirements. Provide guidance and training to employees on the correct procedures for seal requests.
Lead or provide comprehensive support on cross-functional special projects and initiatives assigned directly by the leadership. Cordinate project timelines, resources and communications among various stekeholders. Manage ad-hoc administrative and operational tasks with a high sense of urgency and accuracy,
Qualification and skills:
Bachelor's degree or above in Business Administration, Communications or a related field.
Minimum of 5 years of relevant experience in an executive assistant, corporate secretary, or project management role, preferably within a multinational corporation.
Excellent ability to manage multiple tasks simultaneously, prioritize effectively under pressure, and meet strict deadlines with meticulous attention to detail.
Superior ability to interact confidently and professionally with internal and extenal partners. Fluency in both English and Mandarin is essential.
Strong skills in developing, documenting, and improving administrative processes.
Advanced skills in Microsoft Office.
